I. ABSTRACTThis paper presents the design andimplementation of a secure, cloud-enabled PilotPortal Application that digitalizes aviation recordmanagement, including medical certificates, flightlogbooks, pilot licenses, and personal details.Developed using the MEAN stack (MongoDB,Express, Angular, Node.js), the system employsJSON Web Tokens (JWT) for authenticationwithout relying on external IAM frameworks. Anovel addition to the system is a retrieval-basedchatbot that interacts with pilot data stored in thedatabase, enabling users to obtain informationusing natural-language queries. The chatbotinterprets user intent and retrieves correspondingentries from medical, license, profile, or logbookmodules.The system’s architecture ensures modularity,scalability, and real-time dashboard generation,while the chatbot enhances accessibility andusability. This work demonstrates howconversational retrieval mechanisms can supportaviation applications and reduce manual lookuptime, providing an efficient digital ecosystem forpilots and training institutions.
